TripWorks is a booking and reservation platform for tour, activity, and attraction operators, with strong adoption across the US. Operators use it to sell online and in person, manage inventory and daily operations, and run pricing, payments, and reporting from one system.
Operators using TripWorks include HeliNY, New York City's largest helicopter tour operator, Maui Snorkeling in Hawaii, Eagle Wing Tours in Victoria, British Columbia, and Poseidon Fishing Charters. To learn more about TripWorks visit https://www.tripworks.com/
This operator connection (also referred to as backend) allows you to connect with operators that use TripWorks as their primary booking system and resell their products through Ventrata. Capabilities of this connection allow you to:
Sync live availability and pricing from your operator's TripWorks system.
Post bookings, updates, and cancellations from Ventrata to TripWorks.
Issue vouchers/tickets generated by TripWorks to your customers.
🔐 Required Role Permissions: See Operators, Modify Operators, See Products, Modify Products
Create Connection
📒 Before You Begin
Commercial agreement. Have a commercial agreement in place with the operator whose products you want to resell.
OCTO API Key. Ask your operator to request an OCTO API Key for you from TripWorks. TripWorks issues a separate key for each reseller and operator relationship. Please cc [email protected] so we can help if needed.
Products. Recreate the operator's products in Ventrata, including options and ticket types (units). The connection syncs availability, pricing, and bookings, but does not create products in Ventrata automatically.
Create Operator in Ventrata
In the Ventrata dashboard, go to Products > Operators.
Press the + New Operator button, or select the existing operator you want to connect.
📗 TIP
See how to create a new operator with complete information.
Enter the operator's name, for example HeliNY.
In the 'Backend Partner' field, select TripWorks.
Enter the OCTO API Key you received for this operator.
Keep the OCTO Endpoint pre-filled unless instructed otherwise by TripWorks or your operator.
Press the Create Operator (or Update Operator) button.
📒 NOTE
Each API key connects you to one operator. If you resell more than one operator using TripWorks, create a separate operator in Ventrata for each one, with its own API key.
Assign Operator to Each Product
In the Ventrata dashboard, go to Products > Products.
Select a product from the list.
Press the pen and paper icon to edit the product.
In the Operator & Backend section, assign the TripWorks operator you created.
Check the 'Backend Connected' box.
Keep 'Backend Availability' checked to pull live availability from TripWorks.
(Optional) Check 'Backend Pricing' to pull pricing from TripWorks. If the box stays empty, the product uses the pricing you configure in Ventrata but still posts bookings to TripWorks.
Click the Update Product button.
Repeat these steps for each product you will resell.
Map Products
❗️IMPORTANT❗️
Mapping tells Ventrata which TripWorks product, option, and units to request availability for and book. If backend-connected products are not properly mapped, bookings will fail. A red highlight across the product row indicates an incorrectly mapped product.
On the product level, navigate to the Mapping tab.
Select the matching TripWorks product from the dropdown list. Products appear under their TripWorks experience name.
Select the matching option (if applicable).
Map each Ventrata unit (for example Adult, Child) to the corresponding TripWorks unit. Leave no unit unmapped.
Press the SAVE CHANGES button.
Make a test booking and ask your operator to confirm it appears in TripWorks.
Supported Capabilities
Availability | ✅ | With Backend Availability enabled, Ventrata requests live availability from TripWorks when a user browses dates in the dashboard, checkout, or other sales channels. |
Pricing | ✅ | With Backend Pricing enabled, Ventrata pulls pricing from TripWorks together with availability. Prices include the operator's taxes and fees, so the price shown at availability matches the price at confirmation. |
Bookings | ✅ | Availability is reserved in TripWorks when a product is added to the cart and confirmed after payment, along with the customer's contact details. Booking updates (date, time, quantities) and cancellations made in Ventrata are sent to TripWorks automatically. |
Vouchers/Tickets | ✅ | TripWorks returns a QR code for the booking and for each ticket. Ventrata issues these to your customer. The QR code links to the operator's TripWorks customer portal and is what the operator scans on arrival. |
Troubleshooting
Issue | Possible Solutions |
Error when saving the operator's backend configuration. | The OCTO API Key is likely incorrect or not yet active. Double-check it with your operator. If the issue persists, contact [email protected]. |
No 'Backend Connected' box in product settings. | The operator assigned to the product likely has no backend configured. Check the operator's Backend Partner settings and try again. |
The product/option/unit I want to map is not in the dropdown. | The dropdown shows only the products, options, and units the operator has made available to you in TripWorks. Ask your operator to check the allocation on their side. |
Bookings fail for a backend-connected product. | Check the product's Mapping tab for a red highlight and map any empty product, option, or unit fields. |
