How to Control Fares on the Booking Form

Learn how 'Fixed Fare' and 'Prevent Fare Change' control fare behaviour during booking edits in the backoffice.

In the backoffice, you will find two checkboxes on the booking form that control how fares behave when bookings are edited or updated — Fixed Fare and Prevent Fare Change.


Fixed Fare

Applies to internal fares created and managed within your Ventrata dashboard.

📒 NOTE

If you are only using fares provided by an external platform, this checkbox will not appear in the booking form.

When 'Fixed Fare' is checked, you manually select the fare you want to apply to the booking. This fare remains fixed for all tour dates and times—even if pricing rules (like peak vs. off-peak or seasonal pricing) differ.

Apply a Fixed Fare

  1. Check the 'Fixed Fare' option.

  2. Manually select the fare to be applied to the booking.

  3. Choose the tour date and time

  4. Complete the booking.

📒 NOTE

All prices will be overwritten by the fare you selected. When the booking is updated later, for example, a new tour time is selected, this fare will remain unchanged, regardless of dynamic pricing rules.

What it Does

• Lets you choose and lock in a specific fare for the booking.

• Prevents automatic recalculation of the fare if the booking is updated.

• Ideal when honouring a customer’s original price, regardless of pricing rules.


Prevent Fare Change

Applies to both internal and external fares, especially those managed by external pricing tools.

When editing a booking, check the 'Prevent Fare Change' to lock in the fare that was assigned at the time of booking. This prevents the booking from ending up with a balance due after the update.

When to Use

Use this when external platforms dynamically generate fares and you want to preserve the original fare during changes in the Back Office.

• Freezes the fare value during changes.

• Prevents unintended fare changes or balance due.

• Useful for OTA or externally-priced bookings.
