Working with Reports

Learn how to create reports to analyse data, spot trends and present insights clearly across your organisation.

🔐 Required Role Permissions: Reports, Data Export, Generate Reports, See Custom Reports, Modify Custom Reports

📒 NOTE
Dashboard tables were updated in October 2026. Your existing reports were updated automatically, but some column names have changed. To find the new name of a column, see the column mapping document.

The Ventrata Dashboard offers tools to analyse specific aspects of your operation. The Report button appears in most sections of the Dashboard to help you create reports, useful for both finance and day-to-day operations.

📗 TIP

Reports can also use custom columns and fields from related records. For more information, see Working with Table Columns.

Create Report

Create a report from a filtered table.

In this article, the Bookings table is used as an example.

  1. In the Ventrata Dashboard, go to Bookings > Bookings.

    📒 NOTE

Before generating a report, filter the table to the records you want to report on. Filtered columns have green titles. Their filters become the report’s input data.

    Report Input Data

  2. Press the Report button.

  3. Select New Report.

    New Report

  4. Review your input data.

    Report Builder

    📒 NOTE

  6. Use the ‘Show’ drop-down to select one or more columns.

  7. Use the 'Function' drop-down to select how the values in the 'Show' columns are combined into one result for each 'By' group.

    • Count - the number of records

    • Distinct count - the number of different values, with each value counted only once

      📘 EXAMPLE

Distinct count of Order Customer Email shows how many different customer emails appear in the bookings. A customer who booked several times with the same email is counted once.

    • Sum - all values added together

    • Average - the sum of values divided by the number of values

    • Minimum - the lowest value

    • Maximum - the highest value

    • True count - the number of records where the value is 'Yes' (true)

    • False count - the number of records where the value is 'No' (false)

    Choose Function

    📒 NOTE

A function for each column is configured separately.
