How to Use Tags

Learn how to create, assign tags to organise content and manage associations across products and settings.

Tags help categorise and filter your Ventrata content. They also provide a simple way to associate one type of item with another.

📗 TIP

While tags are a useful and efficient tool, it is important to first identify areas that benefit from them. Overuse or incorrect usage can create more confusion than clarity in your system.


Organise

Organise your items into tag groups to identify special interests, inventory or to label items of the same type.

One-by-one

  1. Navigate to an item group that allows tagging, for example, Products.

  2. Open a specific product and edit the product details.

  3. Locate the 'Tags' field and:

    • select a tag from the list of existing tags, or

    • type a new tag.

  4. To remove an assigned tag, click the x next to the tag name.


    📒 NOTE

    While tags can be created, assigned and unassigned, they cannot be deleted. If you wish to delete a tag, please contact your Ventrata Customer Success Representative for assistance.


  5. Press the Update Product button to save your changes.

Tag In Bulk

  1. Navigate to any table in an item group that allows tagging and select multiple items of the same type.

  2. Press the Bulk Actions button in the action bar.

  3. Select the 'Tag all' option.

  4. Choose a tag from the list of existing tags or type in a new one.

  5. All selected items are assigned the same tag.

Untag In Bulk

  1. Navigate to any table of an item group that allows tagging and select multiple items of the same type.

  2. Press the Bulk Actions button in the action bar.

  3. Select the 'Untag all' option.

  4. Select the tag assigned to those items.

  5. All selected items are no longer assigned the selected tag.


    📒 NOTE

    While tags can be created, assigned and unassigned, they cannot be deleted. If you wish to delete a tag, please contact your Ventrata Customer Success Representative for assistance.



Filter Tables

Use the 'Tag' column to filter by specific tags.

  1. In any table of an item group that allows tagging, press the Show Column button in the action bar.

  2. Select the 'Tags' column.

  3. In the Tags column, press the column title and choose the tag(s) to filter by.

  4. The table lists only items assigned to the selected tag.

Report on Tags

Use tags to report on customer behaviour or sales revenue.

Assign tags to bookings, tickets, or customers, using the Bulk Action button in the action bar. Press the Generate Report button to create reports showing revenue or the number of visitors by tags.

Filter Associations

Tags provide a useful shortcut for the Allow/Disallow settings available across many areas, including products, web checkouts, locations and promotions.

If you use tags to allow or disallow groups, you can manage larger numbers of items by specifying a single tag instead of listing individual items.

📘 EXAMPLE

Allow Products in Promotions

Go to Products > Promotions, then select a promotion or create a new one.

In the Allow/Disallow section of the promotion detail, deselect all product allow options.

In the 'Allow Product Tags' field, list the tag(s) assigned to the products that should be eligible for the promotion.


WARNING

DO NOT USE both the 'Allow' and 'Allow Tags' fields at the same time. Use only one of the fields for the feature to work properly.


You can cross-check that the number of allowed products matches your inventory (see Filter Tables).

Press the Update Promotion button to save your settings.

Create a test booking to verify the promotion was correctly applied to product(s) with the associated tag(s).


Match Tags

Another use for tags is the 'Match Tags' functionality, commonly used with Questions and Challenges.

In both cases, the 'Match Tags' checkbox determines when a question or challenge should be displayed to the user or customer.
