How to Create Agents

An agent is a person employed by a reseller selling your products.

Agents can have a Ventrata account if theyโ€™re carrying out sales through a trade portal. They will not if they sell paper vouchers.

Create a New Agent

Prerequisites:

  • Resellers are available in your Ventrata dashboard.

  1. In the Ventrata dashboard, go to Resellers > Resellers.

  2. Select an existing reseller.

  3. On the reseller detail page, go to the Agents tab.

  4. Press the + NEW AGENT button.

  5. Enter the reseller's name.

    Keep the 'Active' checkbox selected to maintain the account's active status.


  6. Enter the agent's title, for instance, Head Concierge.

  7. Select a reseller tag.

  8. Enter a 4-digit PIN number for the agent to log into the Ventrata Terminal app in Concierge mode.

  9. Enter an email address the agent uses to log into the sales portal.

  10. Check the 'Notification email cc' to allow the agent to receive booking notifications.

  11. You can set a password for the agent to use when logging into the sales portal.

  12. Confirm the password in the next field.


    ๐Ÿ“’ NOTE

    If you leave the password fields empty, the agent will receive an activation email and they can set up their own password.


  13. You can make the agent an 'Admin' by checking the box.

  14. Allow the following permissions as appropriate:

    • Show Commission - show commission earned to agents

    • Adjust Price - typically the head concierge can adjust the price downwards (the adjustment will be deducted from the reseller commission)

    • Manage Agent Accounts - manage or create new agent accounts

    • Make Voucher Transactions - collect money and cash through the 'Bill to my account' settlement method

    • Modify Tasks - allow agents to edit tasks

    • See Invoices - allow agents to see invoices

  15. You can skip sending new agents a welcome email by checking the 'Skip Welcome Email'.

  16. Press the Create Agent button.


Manage Agents

You can manage reseller agents from the same area under Resellers > Resellers > Agents tab.

The following information is available:

  • Active - indicates whether the account is live or not

  • Admin - indicates whether the agent is also an admin

  • Email - shows the agent's email address

  • Last Login - shows when the agent was last logged in the sales portal

You can also edit or delete the agent from this page. Press the pen and paper icon to edit or the bin icon to delete.

Deactivate Agent

You can also DEACTIVATE an account. This will not delete the account. An ACTIVATE button will allow you to reverse your previous action.

  1. Press the DEACTIVATE button.

  2. Refresh the page.

  3. Go to the Agents tab to verify.

Activate Agent

  1. Press the ACTIVATE button

  2. Refresh the page.

  3. Go to the Agents tab to verify.

Reset Password

If an agent forgets their password, press the RESET PASS button. This will send an email to the agent's address with instructions on how to reset their password.
