How to Create Package Products

Create included products, or includes, that make up your package.

You can create included products, or includes, which make up your package. To create a package, check the 'Package' box in Packages & Memberships section of the product form.

The product level changes slightly to accommodate the components necessary to create a functional package product. In this article you will learn how to add includes to package products and what the individual settings mean.

Create Included Products

  1. Go to the Included Products tab.

  2. Press the + NEW INCLUDE button.

    You also have the option to create INCLUDE GROUPS. Include groups are typically used for city passes. You can group includes into groups based on levels (for example, Premium or Standard) and offer a number of attractions in each group.


  3. Check the 'Optional' box if the include does not have to be selected to complete a booking. The include is required if the box is left unchecked.

    By default, all includes are required. Use this checkbox to change this setting.


  4. Check the 'Hidden' box to hide the include from all sales interfaces.

    When enabled, this include is hidden from the checkout, terminal app, tickets, and all PDFs. The include is automatically redeemed when at least one other include in the booking is redeemed, and automatically no-showed if the entire package is no-showed.


    WARNING

    Do not enable both 'Optional' and 'Hidden' for the same include. An include must be either optional or hidden — not both.


  5. Uncheck the 'Apply Discount' box if the package include should not receive a discount when a promotion is applied to the package.

    Before disabling this setting, make sure you understand the package pricing configuration, including the 'Package Include Pricing' functionality.


  6. If you created include groups, choose which group the include belongs to.

  7. Select how many times the same include can be redeemed.

    This is useful for annual passes or memberships.


  8. Select the include type:

    • Booking - include another product in the package

    • Gift Voucher - include a gift voucher with a specified value

    • Purchase - include merchandise or retail items

Follow the steps for each include type:

  1. Check the 'Fixed Rates' box to retain the include's original price instead of the pro-rata rate of the package price.

    📒 NOTE

    This can be helpful if you want one or more of your includes to represent the majority of the revenue. By default, the pro-rata rate of each include is calculated as follows:

    [package_price] x ([include_price] / [total_price_of_includes]) = [pro-rata_rate_of_include]

    📘 EXAMPLE

    A package contains three includes. Its rate is set to $60, while the rates of its individual includes as standalone products have the following rates:

    Include 1 = $20

    Include 2 = $10

    Include 3 = $40

    Their rates in the package are split as follows:

    Include 1 = 60 x (20 / 70) = $17.14

    Include 2 = 60 x (10 / 70) = $8.57

    Include 3 = 60 x (40 / 70) = $34.29

    But if 'Fixed Rate' is ticked on Include 3, the split is adjusted:

    $60 [package_price] - $40 [fixed_rate_include-3] = $20 [remaining_balance]

    Therefore,

    Include 1 = 20 x (20 / 30) = $13.33

    Include 2 = 20 x (10 / 30 ) = $6.67

  2. Check the 'Offset Duration' box to offset the travel date of the include by the duration of the package.

    This is useful for return tickets, where the inbound ticket can be booked after the tour's duration.


  3. Select the number of minutes, hours or days the include's tour date should be offset from the other includes' tour dates.

    Offsets are not supported for multi-date package includes. Use intervals instead.


  4. Select the included product from the list of your existing products.

  5. Map the package unit (field name) to the corresponding unit on the included product.

  6. Enter how many minutes, hours or days before the next include can be redeemed.

  7. Define which includes must be scheduled before or after each other.

    If the include dates are not selected in the order configured in the dashboard, an error is displayed on the screen, and the customer cannot complete the booking.

  8. Keep the 'Allow Overlap' box checked if the tour date and duration of the include can overlap with the tour dates and duration of other includes.

  9. Select an option from the include's list.

    If no option is selected, the first option on the include's product level is taken.


  10. Check the 'Open Dated' box if the tour date does not have to be selected at the time of booking.

    The customer has to redeem their ticket for the include within the validity period of the package.


  11. Select a tour or leave this field blank to include all tours in the package.

    📒 NOTE

    If the include is backend-connected and has tour times, its availability is pulled from an external source rather than your supplier's availability settings. Check the included product's tour times by making a test booking. Then, update the package product's tour times to match those of the include.


  12. Check the 'First tour after offset' field to allow the system to relax strict offset rules for package includes.

    When this field is checked on an include, the system will automatically select the next available tour time after the offset, rather than requiring an exact match.

    Use this setting when tour schedules do not always align perfectly with offset increments.

    📘 EXAMPLE

    A package contains three includes:

    Include 1 - No offset

    Include 2 - 20-minute offset

    Include 3 - 40-minute offset

    If a customer books a 2:00 PM package slot and the setting is not enabled, each include must match the exact offset time:

    Include 1 = 2:00 PM

    Include 2 = 2:20 PM

    Include 3 = 2:40 PM

    If any of these exact times are unavailable, the entire package cannot be booked.

    With 'First Tour After Offset' enabled, the system will automatically select the next available time after the offset:

    Include 1 = 2:00 PM

    Include 2 = 2:20 PM

    Include 3 = 2:45 PM (next available after the 40-min offset)


  13. Uncheck the 'Match tour if only one' box to prevent automatic matching to package tours when the include only has one tour.

    📒 NOTE

    By default, if an included product has only one tour, the ‘Match tour if only one’ box is checked. This means Ventrata will automatically match that single included product tour with each package tour. Unchecking the box disables this behaviour.


  14. Select a pickup point.

  15. Indicate whether pickup is required for the include.

  16. If pickup should not be offered on the include, tick the 'Pickup Disabled'.

  17. Indicate whether dropoff is required for the include.

  18. Press the Create Include button.

  1. Enter the value of the gift voucher.

  • If no product tour is selected at the include level, create tour times for the entire package.

  • Add rates for each ticket tier, consider setting reseller rates or strike rates for the web checkout. Or check the "Package include Pricing" box to inherit the price from the includes.
