Creating Connection

Before you begin:

  • You must have a supplier account with GetYourGuide and your products created in their Portal before creating this connection. Admin login to the account will be needed to configure this connection. If you are not yet working with GetYourGuide, you can create an account here.

  • You must have GetYourGuide created as a Reseller in Ventrata with their pricing (retail, wholesale/commission) defined correctly. Note that this API connection requires that reseller is set to "Bill to my account" settlement method.

To setup your GetYourGuide connection for the first time you will need to first add Ventrata as a user to your GetYourGuide account, and then create a connection in Ventrata:

Step 1: Add Ventrata as User to your GetYourGuide account

  1. Log in to GetYourGuide Supplier Portal, click on your name in the top-right corner, go to Account Settings.

  2. Under Accounts tab, click + Add a new account profile. In the Email field enter connectivity+gygXXX@ventrata.com, replacing XXX with your GetYourGuide Supplier ID, which can be found the same page below your name. For example, is your Supplier ID is 261505, use email connectivity+gyg261505@ventrata.com. You can leave all other optional fields blank.

    Under Accounts tab, click + Add a new account profile. In the Email field enter <a href="mailto:connectivity+gygXXX@ventrata.com" target="_blank" rel="nofollow noopener noreferrer">connectivity+gygXXX@ventrata.com</a>, replacing XXX with your GetYourGuide Supplier ID, which can be found the same page below your name. For example, is your Supplier ID is 261505, use email <a href="mailto:connectivity+gyg261505@ventrata.com" target="_blank" rel="nofollow noopener noreferrer">connectivity+gyg261505@ventrata.com</a>. You can leave all other optional fields blank.

  3. Enable Allow login, select Operations account type and click Add a new account profile. Ventrata will receive and automatically accept the invitation to your account.

Step 2: Create Connection in Ventrata

  1. In Ventrata Dashboard, go to Connections → Connections, click + New Connection, and select GetYourGuide from the list of partners.

  2. Select GetYourGuide Reseller from the list of your resellers (must be created before creating connection). The connection will inherit reseller's configuration like pricing, whitelisted destinations, products, etc.

  3. In the GetYourGuide Email enter [email protected], replacing XXX with your GetYourGuide Supplier ID (same as in Step 1). If prompted to enter GetYourGuide Password, please contact us via Messenger to obtain it.

  4. (Optional) You can also set the connection Name of your choosing, which may be helpful if you have multiple GetYourGuide connections and would like to differentiate between them more easily in the future. If needed, you can also whitelist/blacklist products or destinations on the connection level in addition to what you have configured on the reseller, which can be helpful if you have multiple GetYourGuide connections linked to one reseller.


Mapping Products

Once the connection is created you can start linking your GetYourGuide products & options to corresponding Ventrata products & options - the process called "mapping". This can be done in either of these two ways:

Method 1: Self-Mapping using Ventrata Dashboard (recommended)

  1. In Ventrata Dashboard, go to Connections → Connections, and select GetYourGuide connection which you would like to use for product mapping.

    The connection page will display a table where products and options (listings) that exist in your GetYourGuide account will display on the left and Ventarta products and options they are connected (mapped) to right now - on the right. Any active listings not mapped to Ventrata or mapped incorrectly will be highlighted in red.

  2. Click on GetYourGuide listing you would like to map. Select Ventrata product and, if prompted, option which you would like this listing to be connected to.

    Leave Unit field as All tiers unless you would like to map this listing using GetYourGuide's per group pricing configuration, where group corresponds to specific a unit (tier) in Ventrata.

  3. Click Update Mapping. Ventrata will automatically complete the product mapping in GetYourGuide portal and your product will be connected.

    Note your product may not be bookable on GetYourGuide for approx. 5 minutes after updating mapping, while their system resets and completely resyncs all of your availability.

Method 2: Self-Mapping using GetYourGuide Supplier Portal

  1. Log in to GetYourGuide Supplier Portal, go to Manage → Products, and click See Details next to GetYourGuide product listing you would like to connect. Then, similarly select an option and click Edit Option.

  2. Click Connectivity Settings, then under Do you use an online reservation system? choose Yes, I use a reservation system and select Ventrata from the dropdown-list displayed.

  3. Next, select Ventrata Product and Option this GetYourGuide listing needs to be connected to from the dropdown list displayed. Click Continue.

    If no dropdown list of products is displayed (possible when mapping for the list time) and you're asked to enter External product ID instead, please contact us via Messenger to obtain it. Do NOT enter your Ventrata product ID in this field as it not the same as External product ID needed for GetYourGuide mapping. GetYourGuide External Product ID follows a specific format (connect_id.productId.optionId or connect_id.productId.optionId.unitId for per group pricing) and it is best to be provided by Ventrata Team, or prefilled automatically using mapping Method 1.

  4. Verify if Pricing Categories imported correctly, update if needed. Click Save and continue.

  5. Verify if Capacity restrictions (min/max # of participants per booking) imported correctly, update if needed. Click Save and continue.

  6. Under Do you want to apply the prices that you have specified in your reservation system? select Yes, I want to import my pricing configuration. Then click Save and continue.


    Note Ventrata's connection with GetYourGuide requires pricing is pulled via API for all products except those using Booking Size type fare in Ventrata. If you select No, I will manually add the pricing configuration the connection will not work correctly and may automatically overwrite to Yes, unless exception is configured by Ventrata Team. Only select No, I will manually add the pricing configuration if your Ventrata product uses Booking Size fares or exception has been approved and configured for you by Ventrata Team.

  7. Next GetYourGuide will validate connections by testing if it can access availability and placing a few test reservations (pending bookings). When this is successfully complete, click Finish to complete the process.

    Note your product may not be bookable on GetYourGuide for approx. 5 minutes after updating mapping, while their system resets and completely resyncs all of your availability.


Supported Capabilities (Detailed)

Self-Service Mapping

You can map your products on your own from either Ventrata Dashboard (recommended) or GetYourGuide Supplier Portal.

This works as follows when mapping from Ventrata:

  • Get Mappings (via GYG Supplier Graphql). When you open the connection in Ventrata Dashboard, Ventrata automatically accesses your GetYourGuide account in their Supplier Portal using the Operations user account created for the connection and retrieves the list of all products and options in the account, including their status, connectivity settings, etc.

  • Update Mappings (via GYG Supplier Graphql). When you update mappings in Ventrata Dashboard, Ventrata automatically accesses corresponding product in your GetYourGuide account, verifies it's basic configurations like ticket categories, removes any previously configured availability, pricing, and promotions (special offers / deals) and updates mapping in the connectivity settings as per your selection.

And as follows when mapping from GetYourGuide:

  • Product Details. When External Product ID is entered for the first product you map, GetYourGuide will request it's basics details from Ventrata, including your Ventrata API Supplier ID (= Connection ID / Key).

  • Products List. Using this ID, GetYourGuide will later be able to pull the list of products available to them on the connection and their External Product ID and display this on a dropdown to simplify mapping for other products.

  • Pricing Categories. Additionally, GetYourGuide will pull details about your product's units and update (import) them accordingly.

When you attempt to save the mapping made from either Ventrata or GetYourGuide, GetYourGuide will perform a number of validations / tests before successfully saving mapping. These tests include:

  • Availability Query. GetYourGuide will retrieve availability and validate that there is at least 2 available timeslots or days in next 365 days, check if pricing categories (units) returned match those configured on GetYourGuide / previously imported, as well as validate pricing returned for any possible issue like currency mismatch, etc.

  • Reservation. GetYourGuide will attempt to place a few reservations (pending bookings) usually for min and max allowed # of participants for each pricing category (unit type).

  • Reservation Cancellation. GetYourGuide will then cancel / release these reservations (pending bookings).

If any of these validations/tests fail, corresponding error will be displayed to user. If they pass, mapping will be saved successfully.

Availability

Availability of your GetYourGuide product listings will be regularly synced with availability of the Ventrata products/options the are mapped to.

This works as follows:

  • Availability Query. GetYourGuide will regularly call Ventrata to resync their availability (available days / timeslots, their remaining vacancies and booking cut off time for each) and cache (store) this in their system. This normally happens at a predefined frequency like this, but may vary based on many factors:

    • When product is mapped GYG syncs next 365 days (in multiple requests of 7 day increments)

    • Every 8 days GYG syncs next 365 days (in multiple requests of 7 day increments)

    • Every 4 days GYG syncs next 90 days(in multiple requests of 7 day increments)

    • Every 1 day GYG syncs next 30 days (in multiple requests of 7 day increments)

    • Every 4 hours GYG syncs next 7 days

  • Notify Availability. When your availability changes due to new bookings coming to Ventrata, or date/time specific changes (not bulk changes), Ventrata will send updated details to GetYourGuide.

  • Reservation. When a customer attempts to add a product to their cart of GetYourGuide, Ventrata will verify if there is still remaining to accomodate a booking and will reject it if not.

Pricing

✅ *

Retail pricing for your GetYourGuide product listings will be regularly synced with availability of the Ventrata production/option it is mapped to. *Products using Booking Size fares (tiered pricing) are not currently supported.

This works as follows:

  • Pricing Categories. During mapping, GetYourGuide will pull details about your product's units and update (import) them accordingly.

  • Availability Query. GetYourGuide will regularly call Ventrata to resync their retail prices for each ticket category and cache (store) this in their system. This normally happens at a predefined frequency like this, but may vary based on many factors:

    • When product is mapped GYG syncs next 365 days (in multiple requests of 7 day increments)

    • Every 8 days GYG syncs next 365 days (in multiple requests of 7 day increments)

    • Every 4 days GYG syncs next 90 days(in multiple requests of 7 day increments)

    • Every 1 day GYG syncs next 30 days (in multiple requests of 7 day increments)

    • Every 4 hours GYG syncs next 7 days

  • Notify Availability. When your availability changes due to new bookings coming to Ventrata, fares, or date/time specific changes (not bulk changes), Ventrata will send updated retail pricing to GetYourGuide.

Promotions

Your public promotions with configurations supported by GetYourGuide will be synced as GetYourGuide Special Offers / Deals.

This works as follows:

  • List Deals / Delete a deal / Create a deal. When you map a product from Ventrata Dashboard (not from GetYourGuide portal) as well as every 60 minutes for all mapped products using Pricing API, Ventrata will access the list of all Special Offers in your GetYourGuide account and check if it matches public promotions configured whitelisted for GetYourGuide reseller link to connection. In case of mismatch, Ventrata will delete all Special Offers, and recreate them matching Ventrata, therefore making sure your Special Offers stay in sync with Ventrata public promotions.

    • Only basic public promotions applicable to all units with Pro-rata configurations are currently supported by GetYourGuide. Other promotions will not be synced.

Booking

Bookings, booking changes and cancellation made by customers on GetYourGuide are automatically created in Ventrata. Ventrata generated ticket/voucher is issued to the customer.

This works as follows:

  • Reservation. When a customer adds your product to their card on GetYourGuide, GetYourGuide will make a request to Ventrata to create a pending booking and hold availability for it while customer completes their checkout. Reservation may be rejected by Ventrata if there is no longer availability remaining to accomodate a booking, etc.

  • Reservation Cancellation. If the customer removes your product from their GetYourGuide cart, or if cart time expires, GetYourGuide will cancel a reservation (pending booking) in Ventrata.

  • Booking. After the customer has paid, GetYourGuide will make a request to Ventrata to confirm the booking (previously placed reservation) and provide customer contact information at this point as well as other details, like retail price used, etc.

  • Booking Cancellation. Should a customer cancel booking on GetYourGuide, GetYourGuide will make a cancellation request to Ventrata. Ventrata may reject the request if a booking is already redeemed or you cancellation cut off doesn't allow cancellations, in which case GetYourGuide will fall back to manual cancellation process with you.

  • Booking Changes. If a customer changes a booking on GetYourGuide, GetYourGuide will changing it by placing a new Reservation and Booking and then cancelling the old one via Booking Cancellation.

Redemption

✅ *

When a booking is redeemed (even part-redeemed) in Ventrata, Ventrata will notify GetYourGuide about it.

This works as follows:

  • Ticket Redemption by Booking Reference. As soon an any of the tickets in a booking become Redeemed, Ventrata send a notification about booking redemption to GetYourGuide. This can be useful to help with prevention of cancellations and refunds for bookings that are redeemed, however GetYourGuide is currently known to cancel bookings regardless of notification received.

Pickups

✅ / ❌

GetYourGuide cannot currently pull a list of your pickup locations from Ventrata (these must be manually managed in their Portal), however GetYourGuide will send pickup information to Ventrata and Ventrata will attempt to match it to a closes pickup point.

This works as follows:

  • You will have to create list of pickup locations for each of your products/options in GetYourGuide using their Supplier Portal.

  • Booking. GetYourGuide will send Ventrata pickup location (travelerHotel) with the booking confirmation request, if this applies for your products. Using Google Maps Places API Ventrata will attempt to match this to a closes pickup point you offer and additionally save exact location in the Hotel field on the booking.

Extras

GetYourGuide cannot currently support Extras Add-ons when connected via API. Changes coming Q4 2024!

Even if you set up extras manually in the GetYourGuide Portal, this information will not be sent to Ventrata causing issues with the connection and inaccurate reporting. We plan on adding this capability in Q4 2024 - reach out to us if you're interested in beta testing.

Custom Questions

GetYourGuide cannot currently support Custom Questions when connected via API.

However, GetYourGuide staff may be able to configure some custom questions for your products using their internal Admin tools (aka GYGAdmin / GYG Catalogue). In such case, all custom questions and answered from GetYourGuide will be stored as booking public notes in Ventrata.

Resources

GetYourGuide cannot access resources in Ventrata to select them.

Resource allocation will happen automatically in Ventrata for GetYourGuide bookings.


Troubleshooting

Issue

Possible Solutions

My Ventrata products are using Booking Size fares and pricing not working correctly on GetYourGuide.

GetYourGuide cannot currently pull pricing for products with booking-size fares (also known as Tiered Pricing). Please map products using Method 2 (using Supplier Portal) and manually configure tiered pricing in GetYourGuide portal exactly matching Ventrata fares. Contact us if you need assistance.

I have multiple bookings with the same GYG reference (reseller reference) in Ventrata.

Since GetYourGuide makes booking changes by making new bookings with the same reference and cancelling the old ones, there is nothing to worry if you all but one bookings with the same reference are cancelled and if all have different details - this is likely GetYourGuide amendments of the booking. If you have multiple confirmed bookings with the same reference, please contact us.

I mapped my product but it is not yet bookable on GetYourGuide's website.

Check if your product (tour) and option are both in the active status on GetYourGuide and allow for 5-10 minutes after mapping for the product to become bookable. If the issue persists, contact us.
