Creating Connection
Prerequisites:
Before you begin, you must have a supplier account with GetYourGuide and have your products created in their Portal. To configure this connection, log into your Admin account.
📗 TIP
If you are not yet working with GetYourGuide, you can create an account and take advantage of a special offer for Ventrata users.
You must have GetYourGuide created as a Reseller in Ventrata with their pricing (retail, wholesale/commission) defined correctly. This API connection requires that the reseller is set to the 'Bill to my account' settlement method.
To set up your GetYourGuide connection for the first time, you will need to first create a connection in Ventrata, and then add Ventrata as a user to your GetYourGuide account:
Step 1: Create a Connection in Ventrata
In the Ventrata Dashboard, go to Connections > Connections.
Press the + New Connection button, and select 'GetYourGuide' from the list of partners.
Select GetYourGuide
Select 'GetYourGuide' from the list of your resellers (must be created before creating a connection).
The connection will inherit the reseller's configuration like pricing, allowed destinations, products, etc.
Select Reseller
(Optional) You can also set the connection name of your choosing, which may be helpful if you have multiple GetYourGuide connections and would like to differentiate between them more easily in the future.
📗 TIP
If needed, you can also allow/disallow products or destinations on the connection level in addition to what you have configured on the reseller, which can be helpful if you have multiple GetYourGuide connections linked to one reseller.
Step 2: Add Ventrata as a User to your GetYourGuide account
Please make a note of the email address shown on the connection page. It should look similar to

Press your name in the top-right corner.
Select 'Account Settings'.

Under the Accounts tab, press + Add a new account profile.
In the Email field, enter the email address from the connection page. You can leave all other optional fields blank.
Configure your account profile:
Toggle 'Allow login' ON
Choose the 'Operations' account type
Press the Add a new account profile button.
Ventrata will receive and automatically accept the invitation to your account.

Mapping Products
Once the connection is created, you can start linking your GetYourGuide products & options to corresponding Ventrata products & options - the process called "mapping". This can be done in either of these two ways:

In Ventrata Dashboard, go to Connections > Connections, and select the 'GetYourGuide' connection you want to use for product mapping.

The Connections page displays a table with your GetYourGuide products and options (listings) on the left, and the currently mapped Ventrata products and options on the right. Any active listings that are unmapped or incorrectly mapped are highlighted in red.
Press the GetYourGuide listing you want to map.
Select Ventrata product and, if prompted, the option that you want this listing to be connected to.
Leave the Unit field as 'All tiers'.
Update Connection Mapping

Change only if you want to map this listing using GetYourGuide's per-group pricing configuration, where group corresponds to a specific unit (tier) in Ventrata.
Press the Update Connection Mapping button.
Ventrata automatically completes the product mapping in the GetYourGuide portal to connect your product.

Your product may not be available for booking on GetYourGuide for approx. 5 minutes after updating the mapping, while their system resets and completely resyncs all of your availability.

Press the See Details button next to the GetYourGuide product listing you wish to connect.

Press the Continue button.

Under 'Do you want to apply the prices that you have specified in your reservation system?' select 'Yes, I want to import my pricing configuration.'

GetYourGuide validates connections by testing if it can access availability and placing a few test reservations (pending bookings).
Press the Finish button to complete the process.

Self-Service Mapping
You can map your products on your own from either Ventrata Dashboard (recommended) or GetYourGuide Supplier Portal.

This works as follows when mapping from Ventrata:
Get Mappings (via GYG Supplier GraphQL) - When you open the connection in the Ventrata Dashboard. Ventrata uses the designated Operations user account to retrieve all GetYourGuide products and options, including their current status and connectivity settings.
Update Mappings (via GYG Supplier GraphQL) - When you update mappings in the Ventrata Dashboard, Ventrata automatically accesses the corresponding product in your GetYourGuide account. It verifies basic configurations (such as ticket categories), clears existing availability, pricing, and promotions, and updates the mapping in your connectivity settings.
And as follows when mapping from GetYourGuide:
Product Details - When an External Product ID is entered for the first product you map, GetYourGuide requests its basic details from Ventrata, including your Ventrata API Supplier ID (= Connection ID/Key).
Products List - Using this ID, GetYourGuide is able to pull the list of products available to them on the connection and their External Product ID and display this on a dropdown to simplify mapping for other products.
Pricing Categories - GetYourGuide pulls details about your product's units and update (import) them accordingly.
When you attempt to save the mapping made from either Ventrata or GetYourGuide, GetYourGuide performs a number of validations/tests before successfully saving the mapping. These tests include:
Availability Query - GetYourGuide retrieves availability and validates that there are at least 2 available time slots or days in the next 365 days. Check if pricing categories (units) returned match those configured on GetYourGuide / previously imported, as well as validate pricing returned for any possible issue like currency mismatch, etc.
Reservation - GetYourGuide attempts to place a few reservations (pending bookings), usually for min and max allowed # of participants for each pricing category (unit type).
Reservation Cancellation - GetYourGuide then cancels/releases these reservations (pending bookings).
If any of these validations/tests fail, the corresponding error is displayed. If they pass, mapping is saved successfully.
Availability
Availability of your GetYourGuide product listings is regularly synced with the availability of the Ventrata products/options that are mapped to.

Availability Query - GetYourGuide regularly resyncs availability (available days / time slots, their remaining vacancies, and booking cut-off time for each) and cache (store) this in their system. This normally happens at a predefined frequency, but may vary based on many factors:
When a product is mapped, GYG syncs the next 365 days (in multiple requests of 7-day increments)
Every 8 days, GYG syncs the next 365 days (in multiple requests of 7-day increments)
Every 4 days, GYG syncs the next 90 days (in multiple requests of 7-day increments)
Every 1 day, GYG syncs the next 30 days (in multiple requests of 7-day increments)
Every 4 hours, GYG syncs the next 7 days
Notify Availability - When your availability changes due to new bookings coming to Ventrata, or date / time specific changes (not bulk changes), Ventrata sends updated details to GetYourGuide.
Reservation - When a customer attempts to add a product to their cart on GetYourGuide, Ventrata verifies whether enough capacity remains to accommodate a booking and reject it if not.

List Deals / Delete a deal / Create a deal - When you map a product from the Ventrata Dashboard (not the GYG portal), Ventrata accesses your GetYourGuide Special Offers. It verifies that they match the allowed public promotions for your GetYourGuide reseller link. Ventrata updates this information every 60 minutes. In case of a mismatch, Ventrata deletes all Special Offers and recreates them to match the Ventrata Dashboard.
Only basic public promotions applicable to all units with Pro-rata configurations are currently supported by GetYourGuide. Other promotions are not synced.

Bookings, booking changes, and cancellations made by customers on GetYourGuide are automatically created in Ventrata. A Ventrata-generated ticket/voucher is issued to the customer.

This works as follows:
Reservation - When a customer adds your product to their cart on GetYourGuide, GetYourGuide makes a request to Ventrata to create a pending booking and hold availability for it while the customer completes their checkout. Reservation may be rejected by Ventrata if there is no longer availability remaining to accommodate a booking.
Reservation Cancellation - If the customer removes your product from their GetYourGuide cart, or if cart time expires, GetYourGuide cancels a reservation (pending booking) in Ventrata.
Booking - After the customer has paid, GetYourGuide makes a request to Ventrata to confirm the booking (previously placed reservation) and provide customer contact information at this point as well as other details, like retail price used, etc.
Booking Cancellation - Should a customer cancel a booking on GetYourGuide, GetYourGuide makes a cancellation request to Ventrata. Ventrata may reject the request if a booking is already redeemed or your cancellation cutoff doesn't allow cancellations, in which case GetYourGuide falls back to a manual cancellation process with you.
Booking Changes - If a customer changes a booking on GetYourGuide, GetYourGuide changes it by placing a new Reservation and Booking and then cancelling the old one via Booking Cancellation.
Redemption
When a booking is redeemed (even part-redeemed) in Ventrata, Ventrata notifies GetYourGuide about it.

This works as follows:
Ticket Redemption by Booking Reference - As soon as any of the tickets in a booking become redeemed, Ventrata sends a notification about booking redemption to GetYourGuide. This can be useful to help with prevention of cancellations and refunds for bookings that are redeemed; however, GetYourGuide is currently known to cancel bookings regardless of the notification received.
Pickups
GetYourGuide cannot currently pull a list of your pickup locations from Ventrata (these must be manually managed in their Portal); however, GetYourGuide sends pickup information to Ventrata, and Ventrata then attempts to match it to the closest pickup point.

Create a list of pickup locations for each of your products/options in GetYourGuide using their Supplier Portal.
Booking - GetYourGuide sends Ventrata the pickup location (traveler's hotel) with the booking confirmation request, if this applies to your products. Using Google Maps Places API, Ventrata attempts to match this to the closest pickup point you offer and additionally save the exact location in the 'Hotel' field on the booking.

Mapping on GetYourGuide portal: When setting up or mapping a product in the GetYourGuide portal, set the Allow Add-ons option to 'No'. Setting this to 'Yes' causes GetYourGuide to request add-on data from the API, which Ventrata rejects, leading to connection failures.
Mapping in Ventrata Dashboard: Products mapped directly from the Ventrata Dashboard automatically have add-ons disabled during setup.
Custom Questions
GetYourGuide cannot currently support Custom Questions when connected via API.

However, GetYourGuide staff may be able to configure some custom questions for your products using their internal Admin tools (aka GYG Admin/GYG Catalogue). In such a case, all custom questions and answers from GetYourGuide are stored as booking public notes in Ventrata.

After every fare change, update the product mapping to ensure GetYourGuide tier counts are synced with Ventrata. Ensure the fare is enabled for sale over Direct API.

GetYourGuide processes booking changes by creating a new booking with the same reference and canceling the previous one. If you see multiple canceled bookings alongside one active booking under the same reference, this is normal. However, if you have multiple active confirmed bookings with the same reference, contact our Technical Support team.

When connecting or remapping a product, configuration discrepancies between Ventrata and GetYourGuide can cause integration errors or failed test bookings. Review the following common causes to resolve setup issues:
Availability Requirements & Types: Ensure your product meets all availability requirements and that the availability type matches between platforms.
Timezone Mismatches: Verify that the product's timezone in Ventrata aligns with the timezone configured in GetYourGuide.
Category Age Ranges: Check that your passenger categories cover all ages from 0 to 99 continuously, without any overlapping ranges.
Booking Size Consistency: Confirm that minimum and maximum booking size limits are consistent across all linked products on both platforms.
Accompanied-By Settings: Ensure "accompanied-by" rules match in Ventrata and GetYourGuide.
