How to Use the Dashboard

A simple overview of your operation’s performance, showing key metrics and trends to help you quickly assess overall progress.

The dashboard is designed to provide a basic overview of your operation’s performance, offering key metrics and insights at a glance. It serves as a quick reference to monitor general trends and assess the overall health of your operation.

For more detailed reports and in-depth analysis, use the reporting functionality available on specific tables within the dashboard environment, where you can access comprehensive data and drill down into specific areas of interest.

The Dashboard tab is the default page of the Ventrata dashboard. You can easily navigate back to it by pressing the first tab in the navigation.


Filter

To help visualise individual data, select what information you want to see using the filter.

The filter is structured as follows:

SHOW [Option] OF [Top-level KPIs] BY [Date] EVERY [Step] [Method]

the difference in the two compared periods in percentage

Top-level KPIs

Net Revenue

the formula is: Retail Rate - Commission - Tax

Gross Revenue

the total amount of sales for a specific time period

Reseller Commission

variable-pay remuneration for products sold (to resellers)

Seller Commission

variable-pay remuneration for products sold (to sellers)

Cost

the price at which you buy third-party products

Profit Margin

the amount by which revenue from sales exceeds costs:

Gross Revenue - Commission - Cost

Date

Description

Booking Date

the date a booking was made

Travel Date

the date when a booked tour takes place

Redemption Date

the date when a booking was redeemed

Method

Description

track sales separately

Cumulatively

track sales cumulatively so you can see at each point how you did compared to the same point from the same period the year before

You have the option to hide values that are not set using the 'Hide Not Set' checkbox.

Press the Update button to refresh the data displayed in the dashboard.

Press the Reset button to clear the filter.

Press the Source Data button to view the data visualised in the dashboard. When a date or date range is selected, only the ledgers within that date range will be shown.


Saved Dashboards

The Saved Dashboards functionality allows you to save filter configurations and retrieve them easily from the SAVED DASHBOARDS dropdown field.

How to save a dashboard filter

  1. Press the SAVED DASHBOARDS dropdown field.

  2. Select the Save Dashboard option.

  3. Enter a name for the dashboard.

  4. Keep the 'Private' option checked if you want only yourself to access the saved dashboard.

  5. Choose which user will be able to see the dashboard.

  6. Select whether the dashboard shows 'Sales' or 'PAX' data.

  7. Configure the filter settings, refer to Filter for more details.

  8. Select the blocks, or areas, of data that will be visualised in pie charts based on the selected criteria.

  9. Press the Create Dashboard button.

    Refresh or press the Update button to display dashboard data based on the filter criteria.

    A detailed graph of sales made or seats sold in the selected time period is shown, along with pie charts of the selected blocks.


Destinations

View data for individual destinations or choose All Destinations to see data for the entire operation.


Counters

A list of your counters and their capacities is displayed beneath the destinations.


Comparison Tabs

The Dashboard performs comparisons of PAX and revenue based on the calendar weekday rather than the exact date. It aligns the current day with the equivalent weekday from the previous year, or other selected time range, to ensure a fair comparison in both the DASHBOARD and COMPARISON tabs. For instance, it will compare Monday, September 2, 2019, with Monday, September 3, 2018, maintaining consistency across weekdays.

Blocks

Remove or add blocks which will be displayed as pie charts below the graph.

Press the Update button to apply changes.

Save your current view by using the Save Dashboards function.

Date

By default, the date is selected by 'Booking Date'. You can add 'Travel Date' or 'Redemption Date' if selected in the filter or saved dashboard.

Press the Update button to apply changes.

Graph

Switch between PAX and Net Revenue (default) to view the relevant data. You have the option to select other KPIs if selected in the filter or saved dashboard.

You can download the graph in SVG, PNG or CSV format by pressing the hamburger menu in the top right corner of the graph.

PAX

The PAX graph shows the number of slots sold during the selected time range in blue and the slots sold in the comparison time range are shown in grey.

Net Revenue (default)

📒 NOTE

This button changes based on your selection in the filter or saved dashboard.

The net revenue graph illustrates the net revenue for the selected time range in blue, the the comparison time range in grey and the net revenue per PAX in green.

Pie Charts

You can add or remove blocks to visualise data.

Each block contains a pie chart and a table. The pie chart represents the proportion of each part, while the table provides the following metrics:

  • quantity (QTY),

  • passengers (PAX),

  • average ticket price (ATP)

  • and revenue (SALES).

You can refine chart data by filtering directly within the charts by selecting one or more parts. All other charts will automatically adjust to reflect the filtered data, displaying the requested information. To reset the charts, simply click on the red X next to the title(s) of the filtered chart(s).

Download each chart in SVG, PNG or CSV format by pressing the hamburger menu in the top right corner of the chart.



Examples of Use

What is the total reseller commission for travel dates during the Easter period in 2024?

  1. Using the dashboard filter, select SHOW Sum OF Reseller Commission BY Travel Date EVERY Day Cumulatively.

  2. Press the Update button in the filter row.

  3. In the DASHBOARD tab (1), select the travel date (2).

  4. Select 'Custom Range' (3).

  5. In the date picker, set the month and year, then select the start and end dates of your range, 28 March, 2024 - 31 March, 2024 (4).

  6. Press the Apply button (5).

  7. Press the Update button.

  8. The graph is updated to display the reseller commission (blue) and reseller commission per pax (green).

Compare the gross profit margin for the Christmas to New Year's period between 2023 and 2022.

  1. Using the dashboard filter, select SHOW Sum OF Profit Margin BY Booking Date EVERY Day Cumulatively.

  2. Press the Update button in the filter row.

  3. In the DASHBOARD tab (1), select the booking date (2).

  4. Select 'Custom Range' (3).

  5. In the date picker, set the month and year, then select the start and end dates of your range, 24 December, 2023 - 31 December, 2023 (4).

  6. Press the Apply button (5).

  7. Switch to the COMPARISON tab (1).

  8. Select Previous Year in the 'Booking Date' field (2).

  9. Press the Update button (3).

  10. The graph is updated to display the profit margin for the selected date (blue), the profit margin per pax (green) and the profit margin for the previous year (grey).


    📒 NOTE

    Note how the dates and data shift as you switch between the DASHBOARD and COMPARISON tabs. This is because the dashboard compares dates based on the calendar week rather than day, see Comparison Tabs for more information.
