Manage My Booking: Empowering Your Customers to Self-Serve

We’re excited to introduce the first release of our new Manage My Booking experience! This marks an important milestone in simplifying the post-booking journey for everyone. We invite you to start exploring and transitioning over now, with the goal of completing the switch by the end of the month.

Why Are We Building It?

Your customers want flexibility. Your staff wants less manual work. The upgraded Manage My Booking (MMB) brings both. Giving customers the ability to handle common requests themselves while keeping everything fully synced with your Ventrata system.

What's New in This Release?

This first version focuses on one essential area: Date Management.

Customers can now:

  • Reschedule their bookings

  • Pick a date for open tickets

  • Cancel if plans change

  • Use Multidate Packages (Lite)

  • Pay Balance Due

 These new options reduce support workload and deliver a smoother customer experience.

Over the next few months, we’ll keep expanding Manage My Booking with:

Collect Company Data Effortlessly

You can now collect and display a customer’s Company name in your Checkout forms. This field is now included for version inquiries in the web checkout, making it easier to capture business-related booking details.

Take Control of Your Marketing Consent

You can now customise your marketing consent text directly from the Checkout Settings. If no custom text is provided, the default consent message will appear as before. This gives you full control over how you communicate with your customers.

Show the Right Products, Every Time

Checkout now supports multiple product lists with different category or destination filters. This means you can fetch and display product collections tailored to specific experiences or locations. It's perfect for multi-destination setups or curated storefronts.

Simplified Per-Ticket Details Entry

We’ve simplified how per-ticket details are collected. Custome

r fields (like passenger name or email) are now displayed together with per-ticket questions in the same step, keeping everything neat and in context. This makes it much easier for your guests to enter information for each ticket without jumping between screens. This change takes effect only if both a per-ticket question and per-ticket fields are present.

Help Customers Find the Right Dates Faster

We’ve added preloading of availability for the calendar’s first view. This means customers can immediately see which days are available as soon as the widget loads. It’s useful for products available only on specific days, helping guide users directly to the right dates and improving the overall booking experience.

25% Lighter Widget for Faster Loads

We’ve reduced our widget size by 25%. This optimization speeds up page loading and improves overall site performance wherever the widget is implemented. A smaller bundle means less data usage and faster downloads for visitors.

Drive Conversion with Smart Preselection

We’ve added two new preselection options. You can now set the widget to automatically select a specific date (dateToPreselect) and timeslot (timeslotToPreselect). This update brings exciting marketing opportunities through deeplinks. Share a link to your page on social media, and when customers open it, the widget will automatically load with the selected unit and date, which is guiding them straight to booking.

Easier Booking with Available Options Only

We’ve updated logic how products and options are displayed. Items that are outdated (have set end_on) will no longer appear. This ensures customers only see offers they can actually purchase.

Unique Cutoffs For Resellers

You can now set unique cutoff times for each reseller or band within a product's configuration, giving partners more flexibility without manual adjustments.

Cutoff Warnings Visibility in Back Office

Users with “book historically” permission will now see a clear warning when a cutoff applies, even though they can still complete the booking.


Confirmed Bookings Even with Balance Due

Bookings created via the back office now automatically confirm, even if the full payment hasn’t yet been received, keeping operations moving without delays.


Non-Refundable Extras

A new “Prevent Automatic Cancellation” setting ensures selected extras (like cancellation fees or non-refundable donations) remain active even if the parent booking or ticket is canceled in the back office. Works for both booking and ticket-level extras.


Sort Products

If your product list has 50 or fewer items, you can now sort them directly within the table for easier management.


Alphabetised Campaigns

Campaign lists are now alphabetised, making it faster to find and send manual campaigns.


Improved Dynamic Pricing

With forecast-based fare adjustments you can use:

PAX Forecast

Adjusts fares based on the total number of tickets expected to sell for a tour time.

Vacancies Forecast

Adjusts fares based on remaining capacity (capacity minus expected sales).


Access Data on Demand

You can now retrieve reporting and export data directly via new endpoints using your dashboard API token:

Access any data table available in the back office and automate reports exactly how you need them.

Adding teammates


Sport Pricing Errors Before

Zero-Priced booking monitoring is a quick and reliable way to detect pricing errors for resellers. Currently supports adult and group units, with optional monitoring at the availability level.


GYG Fortress Stability Improved

We’ve enhanced stability and reduced error rates for availability and reserve calls on the GetYourGuide Fortress integration. We’ve reached our current optimisation limit and plan to follow with similar improvements for Viator.


New Airbnb Unmap Option

If needed, connections to Airbnb can now be unmapped directly from the Ventrata side. Useful in cases of lost account access or incorrect product setup.


Tap-to-Pay on Android

Accept card payments directly from any compatible Android phone with no extra hardware needed. Ideal for guides, mobile sellers, or local distribution setups. Android rolls out first, with iOS to follow soon.


Simplifying Device Management

We’ve completed the migration to EloView 4, unifying all device managers into one platform for handheld scanners, kiosks, and POS workstations. This simplifies setup and improves device reliability and support.

Custom Checkout Widget Fonts

We've updated how your checkout widget displays fonts. Since July 7th, any custom fonts set in your Ventrata brand settings appear in the checkout.

Your checkout widget is now connected to your Brand settings. Any font selections you've made in the Ventrata Dashboard will be applied to your checkout automatically. Since the widget was originally built before we introduced Brands, this connection didn’t exist until recently. If you've already selected custom fonts in your brands settings, your checkout may look a little different after this update.

This is your chance to customise the typography of your checkout. You can visit the Brands section in the Dashboard to choose fonts that match your website and visual style.

Take a moment to review your brand settings to make sure your font selections match what you want customers to see.

Memberships

Whether you're a museum, zoo, or cultural site, managing memberships shouldn't be a maze. The Memberships feature is built to meet the operational and strategic needs of today’s institutions. Create flexible membership tiers with distinct benefits, offer in-visit upgrades, enforce usage limits, and let members manage their access through a self-serve portal. With built-in tracking and auto-renewal options, you can grow recurring revenue while staying focused on your mission.


Icons for Tour Groups

If you use time slots in select mode and organise them into groups, any icon assigned to a group in the dashboard will now appear in the checkout. This visual touch helps customers quickly identify and navigate time slot options more easily.


Improved Address Autocomplete with Loqate Integration

For clients, especially in the UK, who prefer an alternative to Google Places, we’ve added support for Loqate. By entering your Loqate API key in the checkout settings, you can enable address autocomplete with enhanced search accuracy tailored for the UK market—making checkout smoother for your customers.


Product List Pagination for Faster Loading

To improve performance and reduce strain on our infrastructure, the Product List now loads only 5 products at a time. You’ll find a button at the bottom of the list that lets you load 5 more products with each click—helping pages load quicker and keeping your experience efficient.

Improved Report Order

Specify your preferred Sort By field and Sort Direction (ascending or descending) to tailor your data view. Don’t forget to save your changes on existing reports before exporting to keep your sort preferences intact.


Visual Calendar Clarity

We’ve updated calendar colouring in the Dashboard so that days will now only show a coloured background if they’re open or have available capacity. This small but mighty change makes it easier to visually scan for bookable days—no more background noise from closed dates.


Bulk Reschedule Feature

Adjust dates and times in fewer clicks from the Bookings table using the Bulk Reschedule feature.


Google Wallet Support

Bookings now include a pass your guests can add directly to Google Wallet from emails or via API.

Whitelist / Blacklist Extras on Promotions

Control which extras are eligible for upgrades — such as excluding booking fees, taxes, or other non-applicable extras.


Apply Questions with Match Tags

Just like on the web, you can now tag questions and they'll automatically appear on every product that shares the tag — making setup faster and more consistent.

Challenges

Challenges are a flexible system designed to help enforce rules at scan time. They let you define conditions that must be met before a ticket can be redeemed.

  • Assign a Challenge to a ticket, promotion, or booking — with a custom message explaining what to check.

  • When the ticket is scanned, the message pops up and the agent can accept or revoke the redemption on the spot.

Split Invoice by Destination

Manage multi-destination resellers like GetYourGuide with the Invoice Split Destination checkbox. Generate separate invoice per destination, even when a reseller is managed globally. This checkbox only appears when the reseller's destination is left blank.

Web Checkout Improvements

A suit of enhancements designed to boost performance and deliver a smoother customer experience:

  • Hide prices on calendar days that are closed.

  • New Skip and Continue button lets customers move past upsells and cross-sells more easily — especially on mobile devices.

  • Faster product loading for checkouts with 3+ currencies.

  • Tooltips now appear for any extras and tax items when set.

  • Improved Upgrade Logic — if an upgrade fails (e.g., due to unavailable time slots), customers are redirected to the upgraded product with the unit and date already pre-selected.

  • Set a maximum gift card limit, complementing the existing minimum amount setting.

Calendar First

Instead of browsing through long lists of products, customers first select a date, then choose from the available tickets. Based on their selection, they will see the relevant products.

Calendar First is designed for businesses that offer products and experiences with specific date-based variations like:

  • Products with different options on different days - If your offerings change based on the day, Calendar First lets customers easily view and select the best option for their preferred date.

  • Products that don' t repeat every day - Ideal for experiences or events that only occur on specific dates, Calendar First ensures customers only see what's available.

  • Products with limited capacity - If your product has limited availability, Calendar First helps manage customer expectations by showing real-time availability for selected dates.

Simpler and Faster Booking - Customer focus on the dates that work for them, avoiding unavailable options.

Better Product Discovery - By selecting a date first, customers only see what's available, reducing unnecessary steps and frustration.

Enhanced Product Descriptions - More detailed and relevant product information helps customers make better choices.

Optimised Add-on Sales - Extras are moved to a separate step after product selection. The rest of the booking flow remains unchanged after this step.

Seamless Switching Between Calendar First and Product-Led Views - This functionality allows customers to switch between Calendar First (choosing a date first) and Product-Led (choosing a product first) based on their preference.

Flexible Booking Flow - In addition to the full Calendar First flow, we also offer a variation where customers select only the date first. After choosing a product, they enter the classic Product-Led booking flow.

Match Tags for Order-Level Question

Streamline the process of answering questions by assigning product, unit, or extra tags to your questions to apply them where they're needed. The order questions page will now appear before entering contact details, making the checkout process more efficient.


Automatic Discounts

In addition to manual entry and public promotions, you can now apply promo codes automatically at the beginning of checkout through the data-config attribute, a query parameter or session storage.

Reseller Tracking

In addition to manually assigning resellers during checkout, you can now dynamically set them using a query parameter or store them in session storage. These options enhance order tracking, simplify integration, and improve the reseller experience.


Product Visibility

Manage which products appear in the checkout. Instead of showing all products or just one, filter them by categoryID, destinationID, featured products, or custom product list via data-config. This give customers a more tailored experience.


HTML5 Forms and Google Place Autocomplete

We've enhanced form inputs by adding HTML5 autocomplete attributes. Browsers can autocomplete details like name, email, phone number, and address. This means less manual input, fewer errors, and a faster checkout experience.

We've also integrated Google Place API Autocomplete API to enhance the checkout process. As users type their street address, they'll receive real-time suggestions.

Exchange Rate Markup

Apply a percentage markup on exchange rates when guests pay in a different currency. Simply adjust this setting under Supplier Settings to customise rates for foreign currency payments without affecting your main pricing structure.


Improved Gateway Assignment

Create and prioritise gateways under Supplier Settings > Gateways. Instead of setting gateways at the supplier or destination level, you can filter them by sources, currencies, destinations, checkouts, and portals.


Accompanied by Ratio

Set a ratio of tickets that need to be accompanied by another ticket. This allows you to specify how many tickets must be purchased together.


Unit Tags

Apply unit tags to ticket-level questions to filter and organise them when they are used.


Checkout Deposit Feature

The Checkout Deposit feature allows you to require a deposit payment when customers make a booking through the web checkout. This ensures that a portion of the total payment is secured upfront, while the remaining balance can be paid later. You can easily set up deposit amounts, percentages, and payment options through the system.


Rentals

Rentals allow you to charge customers based on how long they borrow a products, with prices calculated by the duration of use (e.g., per hour or per day). Rentals charge customers based on the duration of use, while Fixed Rentals have a set price regardless of how long the product is rented.


Card on File

All payments processed by Ventrata Payments will now be stored and can be recharged through the back office for future purchases.

Auto Rebalance

Manage rescheduling more efficiently by automatically handling small balance differences or waiving them entirely when needed. Set an Auto Rebalance Threshold (%) at the terminal location to automatically waive minor price differences for reschedules — for example, with a 10% threshold, a $45 ticket can be rescheduled up to $49,50 at no extra charge. You can also enable Allow Rebalance (Yes/No) for individual or bulk bookings, waiving all rescheduling balances for those bookings.

This feature is perfect for situations like bad weather days or other scenarios where you would like to allow the guest to reschedule for free.

GetYourGuide: Added Booking Size Fares (Tiered Pricing) Support

Ventrata products using Booking Size fares can now be connected to GetYourGuide with Pricing over API (with some limitations). If you had such products connected with GetYourGuide, they have automatically got 'Pricing over API' enabled as a part of this update.

GetYourGuide: Added Extras (Add-ons) Support

GetYourGuide can now automatically sync your Ventrata extras as add-ons when necessary.

Your public promotions whitelisted for Klook will now sync to Klook to display strike-through pricing.

You can now resell products from Merlin Entertainment's operator using our updated connection (backend) with support for dynamic pricing and more.
