How to Use the Send Payment Link Flow

Create balance due bookings for phone and group sales and let customers pay later using a secure payment link.

Sending a payment link via terminal app allows sellers to create balance due bookings without taking payment at the point of sale. After adding the customer's email address to the order, a Send Payment Link option becomes available as a payment method.

The system then sends a secure payment link by email, allowing the customer to complete the payment later through the Manage My Booking portal.

This flow is ideal for:

  • phone bookings

  • group booking where not all participants are present,

  • scenarios where operators use third-party guides or personal devices and are not permitted to take payments directly — even using third-party processors


Prerequisites:

Location Settings

Navigate to Terminals > Locations and make sure the following settings are configured:

  • Enable the 'Pay Later' settlement method.

  • Add the 'Send via Email' delivery method.

  • Allow all resellers or select the applicable ones.

Reseller Settings (for reseller bookings)

Navigate to Resellers > Resellers and make sure the following settings are configured:

  • Enable the 'Pay Later' settlement method for the applicable reseller(s).

Supplier Settings

Navigate to Supplier Settings > Supplier Settings and make sure the following setting is enabled:

  • Enable order receipt email

Create a Booking with a Payment Link

  1. In the Ventrata Terminal app, go to the Sales tab.

  2. Create a new booking using either

    • New Booking, or

    • Direct Reseller Sale

  3. Select a product.

  4. Fill in the booking form for the product.

  5. Press the Add button.

  6. Select which products the customer wants to redeem right away and which ones later.

    You may also press the Redeem All button to check all products and continue.

  7. Press the Continue button.

  8. On the Delivery Method page, select 'Send via Email' and enter the customer's email address.

  9. On the Payment Method page, select 'Send Payment Link'.

  10. Press the Continue button to complete the booking.

Customer Flow

Once the booking is completed, the customer receives the order receipt email. This email contains:

  • Order summary

  • Booking voucher

  • Pay Balance Now link

Logging in to Manage My Booking

When the customer clicks the Pay Balance Now link, they are redirected to the Manage My Booking portal, where they must log in using one of the following methods:

  • E-mail

    A 6-digit verification code is sent to the customer's email address and must be entered to access the MMB portal.

  • Booking reference

    The booking reference is available in the order receipt email.

    This method requires the booking reference and the customer's last name.

Paying the Remaining Balance

If the customer logs in using the E-mail method, they must locate and select their booking in the Upcoming Bookings tab.

If they log in using the Booking reference method, they are redirected directly to the booking, where the remaining balance due is displayed.

When the customer presses the Pay unpaid balance button on the booking detail, they are redirected to the Contact Details page, with their name (if provided) and email address pre-filled.

Contact Details

After pressing the Pay Now button at the bottom of the page, they are prompted to enter their payment details and complete the payment for the remaining balance.
