How to connect your product listings on Viator to Ventrata to sync availability, pricing, bookings & more.

This connection enables you to sell your products on Viator in a more automated way, eliminating the need to manually manage availability, pricing, and bookings in their Management Center. Capabilities of this connection allow you to:

Creating Connection

Prerequisites:

  • Before you begin, you must have a supplier account with Viator and your products created in their Management Center. To configure this connection, log into your Admin account.

If you are not yet working with Viator, you can create an account here.

  • You must have Viator created as a Reseller in Ventrata with their pricing (retail, wholesale/commission) defined correctly. This API connection requires that the reseller is set to the "Bill to my account" settlement method.

To set up your Viator connection for the first time, you need to first set Ventrata as your reservation system in Viator Management Center, and then create a connection in Ventrata:


Step 1: Set Ventrata as Reservation System to your Viator account

  1. Click on your account name in the top-right corner.

  2. Select 'Account'.

    Log in to Viator Supplier Management Center, click on account name in the top-right corner, and go to Account.

  3. Go to the 'Connectivity' tab.

  4. Set/change your reservation system to Ventrata.

    • Press the Connect Now button if you don't have the API connected now.

    • Press the Edit button if you are connected to another system.

    Ventrata receives and automatically accepts the invitation to your account and automatically completes all other settings (including the API key) when you create a connection in Ventrata.

Step 2: Create Connection in Ventrata

  1. In the Ventrata Dashboard, go to Connections > Connections.

  2. Press the + New Connection button, and select 'Viator' from the list of partners.

  3. Select 'Viator' from the list of your resellers (must be created before creating a connection).

    The connection will inherit the reseller's configuration, like pricing, allowed destinations, products, etc.

  4. In the 'Viator Supplier Code' field, enter your 'Viator Supplier ID', which can be found next to your name in Viator Supplier Management Center. ​

  5. (Optional) You can also set the connection name of your choosing, which may be helpful if you have multiple Viator connections and would like to differentiate between them more easily in the future.

    If needed, you can also whitelist/blacklist products or destinations on the connection level in addition to what you have configured on the reseller, which can be helpful if you have multiple Viator connections linked to one reseller.


Mapping Products

Once the connection is created, you can start linking your Viator products & options to corresponding Ventrata products & options - the process called "mapping". This can be done in either of these two ways:

Method 1: Self-Mapping using Ventrata Dashboard (recommended)

  1. In the Viator Supplier Management Center, go to Products.

  2. Press the Create New Product button and fill in all information about the product.

  3. Submit for review. To make the listing visible in the Ventrata Dashboard, the listing needs to be in "Active" status. Approval from Viator's team can take up to 48 hours.

  4. When the product is active, go to Products.

  5. Choose the active product and press the Manage button.

  6. Go to Schedules & prices.

  7. Then turn on the 'Pricing sync'.

  8. In the Ventrata Dashboard, go to Connections > Connections.

  9. Select the 'Viator' connection that you want to use for product mapping.

    The Connections page displays a table with your Viator products and options (listings) on the left, and the currently mapped Ventrata products and options on the right. Any active listings that are unmapped or incorrectly mapped are highlighted in red.

  10. Press the Viator listing you want to map.

  11. Select the Ventrata product and, if prompted, the option that you want this listing to be connected to.

  12. Press the Update Connection Mapping button. Ventrata automatically completes the product mapping in the Viator portal and connects your product.

Method 2: Self-Mapping using Viator Supplier Portal

  1. In the Viator Supplier Management Center, go to Products.

  2. Press the Create New Product button and fill in all information about the product.

  3. Submit for review. To make the listing visible in the Ventrata Dashboard, the listing needs to be in "Active" status. Approval from Viator's team can take up to 48 hours.

  4. When the product is active, go to Products.

  5. Choose the active product and press the Manage button.

  6. Click the three dots next to the name of the product and press the Edit Connectivity button.

  7. Select the Ventrata Product and Option this Viator listing needs to be connected to from the dropdown list displayed.

  8. Turn on the 'Pricing sync'.

  9. Press Save.

    You may be prompted to correct configuration errors, like a mismatch in data between systems, before you can save the mapping.

  10. Verify if Pricing Categories were imported correctly and update if needed.

    The pricing categories have to cover the age range between 0 and 99 without any gaps or overlaps. You can set up any categories from the following list:

    • infant

    • child

    • youth

    • adult

    • senior

    Viator uses the pricing category 'Traveler' in cases where there is no age restriction in place.

Self-Service Mapping

You can map your products on your own from either Ventrata Dashboard (recommended) or Viator Management Center.

This works as follows when mapping from Ventrata:

  • Get Mappings. When you open the connection in Ventrata Dashboard, Ventrata automatically accesses your Viator account and retrieves the list of all products and options in the account, including their status, connectivity settings, etc.

  • Update Mappings. When you update mappings in Ventrata Dashboard, Ventrata automatically accesses the corresponding product in your Viator account, verifies its basic configurations like ticket categories, removes any previously configured availability, pricing, and promotions (special offers/deals), and updates mapping in the connectivity settings as per your selection.

    📒 NOTE
    Pricing sync needs to be turned on in the Viator Management Center for every product to enable this functionality.

  • Pricing Categories. Additionally, Viator pulls details about your product's units and updates them accordingly.


Troubleshooting

I have multiple bookings with the same Viator reference (reseller reference) in Ventrata.

Since Viator makes booking changes by making new bookings with the same reference and cancelling the old ones, there is nothing to worry about if you have all but one booking with the same reference cancelled and if all have different details - this is likely Viator amendments of the booking. If you have multiple confirmed bookings with the same reference, please contact us.

I mapped my product, but it is not yet bookable on Viator's website.

Check if your product (tour) and option are both in active status on Viator, and allow for 5-10 minutes after mapping for the product to become bookable. If the issue persists, contact us.
