How to Create Dispatches

A dispatch refers to the process of coordinating and assigning vehicles and drivers to transport passengers according to scheduled routes and times. This ensures efficient and timely pickup and drop-off services.


Create a New Dispatch

  1. In the Ventrata dashboard, go to Pickups > Dispatches.

  2. Press the + New Dispatch button.

  3. Enter a name for the dispatch. This is an internal reference for your and your staff.

  4. Select whether the dispatch is picking customers up for a tour or dropping them off after one.

  5. Select the vehicle for the dispatch as appropriate.

  6. Select a driver and/or guide.

    The list of assignees comes from the list of your sellers under Ticket Terminals > Sellers. Anyone assigned to the dispatch will be able to view the list of bookings on the Manifests page of the Ventrata Terminal app.


  7. Select the correct destination

  8. Select the date of the dispatch.

    Each dispatch is created for a specific day. All bookings with a pickup request for that day are listed at the bottom of the dispatch form. You can select which bookings to assign to the dispatch and create new dispatches with a different set of bookings to use your resources efficiently.


  9. You have the option to select which area the dispatch covers.

    Areas are created during Routes creation.


  10. You have the option to limit for which products or tour times the dispatch is created.

  11. You can assign the dispatch to one of the manifests in your dashboard.

  12. Additionally, you can add any notes related to the dispatch. These can be seen by your staff.

  13. Assign bookings to the dispatch from the list of bookings at the bottom of the form.

  14. Press the Create Dispatch button.


Manage Dispatches

Access all of your dispatches from the Pickups > Dispatches page. Select the date in the Date column to view past or future dispatches.

The Date column is set to 'Today' by default.

Select a dispatch and a modal window appears onscreen with additional options to manage your dispatches.

The top row lists the following:

  • Name of the dispatch

  • Name of the driver

  • Name of the Guide

  • Date of the dispatch

  • Edit - edit dispatch details

  • Delete - delete the dispatch

  • View in Bookings - view the bookings associated with the dispatch in the Bookings table

  • Download CSV - download a CSV export of the dispatch

  • Print Manifest - print the manifest and distribute a physical copy of the dispatch

  • Send Manifest - enter the email addresses of the recipient to send a PDF copy of the dispatch

The All Bookings tab lists the bookings associated with the dispatch and includes the following information:

  • CUSTOMER - customer name and phone number; you also have the option to assign a label to the booking (drop-down field)

  • BOOKING - product name, booking reference and state of the booking, tour time

  • AD/CH - ticket type (AD - adult, CH - child, etc.) and number of units

  • PICKUP - the pickup point and its address, and time of pickup

  • NOTES

  • TOTALS - at the bottom of the table the total number of tickets and the price are listed

You can add comments and attachments to the dispatch below the booking table.
