How to Create and Use Cancellation and Reschedule Protection Extras

Learn how to set up extras for offering cancellation and reschedule protection on bookings.

Extras let you add additional charges or services to bookings. In this article, you will learn how to use an extra to offer Cancellation Protection or Reschedule Protection.

Use Cancellation Protection or Reschedule Protection to offer an optional extra that customers can purchase during booking to avoid cancellation or reschedule fees.

Configure Change Fees to charge customers when they cancel or reschedule their bookings through the Manage My Booking portal.


Cancellation Protection

📘 EXAMPLE

Consider the following cancellation rules:

  • 14 days or more before the tour date = FREE cancellation

  • 14 to 2 days before the tour date = a cancellation fee applies

  • Less than 2 days before the tour date = cancellation not allowed

Or, you can offer Cancellation Protection, allowing customers to purchase the option to cancel their booking at any time. Customers who do not purchase Cancellation Protection remain subject to the configured cancellation cutoff and any applicable fees.

Create Cancellation Protection

You can offer an extra that customers can purchase to protect themselves from cancellation fees.

  1. Navigate to the product where the cancellation protection applies.

  2. Go to the Extras tab.

  3. Press the + NEW EXTRA button.

  4. Enter 'Cancellation Protection' as the extra name.

  5. Select 'Booking' to apply the fee to the entire booking.

  6. Check the 'Booking Cancellation Allowed' box.

  7. Keep only the 'Web Checkout' source checked.

  8. Select the applicable tax rate (if needed).

  9. Press the Create Extra button.

  10. In the Retail tab, locate the lines for the 'Cancellation Protection' and enter the fee amount—this is the amount the customer will pay at the time of booking.

  11. Set the Cancellation Cutoff to 2 days.

    You can apply this cutoff for the Web Checkout only or to all sources, depending on your operation.

📒 NOTE

The Cancellation Cutoff applies only to bookings without the Cancellation Protection extra. If a customer purchases Cancellation Protection, they can cancel their booking at any time through the Manage My Booking portal, regardless of the configured cancellation cutoff.

During booking, customers can add the Cancellation Protection extra.

The booking total includes the ticket price and the Cancellation Protection fee.

If customers purchase Cancellation Protection, they can cancel their booking at any time through the Manage My Booking portal using the Cancel booking button.

📒 NOTE

Customers who purchase Cancellation Protection can cancel their booking regardless of the configured cancellation cutoff. Customers who do not purchase the extra remain subject to the configured cancellation cutoff and any applicable cancellation fees.

After cancellation, the booking level shows:

  • the full ticket price as refunded

  • the Order Total equal to the Cancellation Protection fee, which is non-refundable

Reschedule Protection

Create Reschedule Protection

You can offer an extra that customers can purchase to protect themselves from rechedule fees.

  1. Navigate to the product where the reschedule protection applies.

  2. Go to the Extras tab.

  3. Press the + NEW EXTRA button.

  4. Enter 'Reschedule Protection' as the extra name.

  5. Select 'Booking' to apply the fee to the entire booking.

  6. Check the 'Booking Reschedule Allowed' box.

After rescheduling, the booking level shows:

  • the full ticket price unchanged

  • the Order Total equal to the Reschedule Protection fee, with no additional reschedule fees
