How to Manage Availability Using Weight Limits

Control bookings based on maximum allowable weight at product or resource level

Prerequisites:

📒 NOTE

Similarly to capacity, 'Max Weight' can be configured both on the product and on the associated resource. Bookings are allowed until the lower limit is reached.

If both capacity and weight limits are set, availability is determined by whichever limit is reached first.

Product

Define product availability by adding a weight limit directly in the product settings.

  1. In the Ventrata dashboard, go to Products > Products.

  2. Select an existing product or create a new one.

  3. Press the pen and paper icon to edit the product details.

  4. In the Availability section, check the 'Fixed Weight' box.

  5. Select the weight unit — kilogram (kg) or pounds (lb).

  6. In the 'Max Weight' field, enter the maximum allowable weight.

  7. Press the Update Product button to save your changes.

Resource

Limit product availability by setting a weight limit on the associated resource.

  1. In the Ventrata dashboard, go to Products > Resources.

  2. Select an existing resource or create a new one.

  3. Check the 'Fixed Weight' box.

  4. Select the weight unit — kilogram (kg) or pounds (lb).

    📒 NOTE

    If a weight limit is also set on the product using a different unit, the booking form will display the product's weight unit, not the resource's.


  5. In the 'Max Weight' field, enter the maximum allowable weight.

  6. Press the Update Resource button to save your changes.

Tickets

Add default weights for each ticket type to support availability checks before the actual customer weight is known.

  1. In the Ventrata dashboard, go to Products > Products.

  2. Select an existing unit or create a new one.

  3. In the Tickets tab, edit a unit or create a new one.

  4. In the 'Default Weight' field, enter a default weight per ticket.

    📒 NOTE

    The ticket weight unit matches the unit selected in the product settings.


  5. Press the Update Unit button to save your changes.

Use Weights During Booking

Backoffice / Sales Portal

  1. In the Ventrata dashboard, press the + New Order button in the top navigation.

  2. Select a product with a configured weight limit.

  3. Select the number of units and a tour (if applicable).

  4. Availability is calculated based on both capacity and weight limits.

  5. If a resource is assigned, the applicable capacity and weight limits are displayed next to the resource name.

  6. Enter the weight of each customer in the ticket details.

    📒 NOTE

    The weight unit can be freely changed during booking. For availability checks, the unit is converted to the unit specified at the product leve (or resource level if not set on the product level).


  7. Complete the booking.


Manage Availability Using Weights

Availability Calendar

Use the availability calendar to view and update availability.

On the product level, go to the General Availability tab and switch to 'Max Weight' to display weight-based availability settings.

Select an availability entry and change the weight limit as needed.

📒 NOTE

The weight unit matches the unit selected in the product settings.


Manifests

Use the 'Weight' (total weight capacity) and 'Available Weight' (remaining weight capacity) filters in the calendar to review availability based on weight.
