How to Create Tours

Tours allow you to create a schedule of tour times throughout a given day when customers can visit your attraction.

There are two methods to create tours:


Create Individual Tours

  1. In your Ventrata dashboard, go to Products > Products.

  2. Select an existing product.

  3. Go to the Tours tab.

  4. Press the + NEW TOUR button.

  5. Enter tour start time.

  6. Enter a unique name or identifier for the tour.

    📗 TIP

    This can be, for example, a flight number.


  7. Press the + ADD DATE RANGE button to enter a start and end date for the tour.

    📒 NOTE

    If you leave the fields empty, the tour is always available.


  8. Tick the 'Pickup Available' checkbox to allow the selection of a pickup point during booking.

  9. Optionally, select a default pickup point which will be preselected during booking.

  10. Tick the 'Dropoff Available' checkbox to allow the selection of a dropoff point during booking.

  11. Optionally, select a default dropoff point which will be preselected during booking.

  12. In the 'Routes' field, select the route(s) you want to associate with the tour.

  13. Select which sources can offer the tour.

  14. Enter the name of a meeting point if applicable.

  15. Enter the latitude and longitude of the meeting point.

  16. Enter a meeting time.

  17. Add your own template variables.

    📗 TIP

    Tour template variables can be used to include, for example, information specific to a tour, such as entrance location (Entrance A). Use these variables in voucher templates along with other printing variables.

    When applying the variable, make sure to use the correct format: {tour.your_variable}.


  18. Press the Create Tour button.

Create Tours in Bulk

This process allows you to create tours in regular intervals in a predefined time range.

  1. In your Ventrata dashboard, go to Products > Products.

  2. Select an existing product.

  3. Go the Tours tab.

  4. Press the + BULK NEW TOUR button.

  5. Enter the start time of the first tour in the 'From' field.

  6. Enter the start time of the last tour in the 'To' field.

  7. Enter an interval (in minutes) at which the tour times begin.

    📘 EXAMPLE

    Set the 'From' time to 9:00 and 'To' time to 13:00 and set the interval to 'Every' 60 minutes. This setup yields 5 tours, starting every hour (9am, 10am, 11am, 12pm and 1pm).



    📒 NOTE

    Make sure to account enough time for change of staff, cleanup and other logistical challenges as appropriate.


  8. Enter how many minutes before the tour begins customers should assemble at the meeting point.

  9. Press the + ADD DATE RANGE button to enter a start and end date for the tour.
