Why are indirect bookings upgraded?

Bookings switch to 'Upgraded' status when:

  1. a booking was rebooked via the dashboard

  2. a booking, originally made by a reseller (via the concierge portal or API), is scanned and auto-rescheduled to a different tour time

This article explains the second case.


What is Auto Reschedule

When a ticket is scanned at a location where 'Auto Reschedule' is enabled, a booking can be moved to an earlier tour time if:

  • there is space available

  • there is no price difference

  • the location allows auto rescheduling

Auto Reschedule - Direct Sales

For bookings made directly by a seller in the backoffice, sales portal or terminal:

Booking Level - Confirmed Booking

  1. The customer arrives early at the attraction.

  2. A staff member scans the ticket.

  3. The scanned ticket already shows the new (earlier) tour time.

    Terminal - Scanned Ticket

  4. The voucher is redeemed.

  5. The customer joins the earlier tour, as:

    • auto reschedule is allowed at that location

    • there is room available

    • no price difference applies

    Booking Level - Redeemed Booking

  6. The original booking is reused and updated - no upgrade occurs.


Auto Reschedule - Indirect (Reseller) Sales

For bookings made through the concierge portal or over API by a reseller:

Booking Level - Confirmed Booking

  1. The customer arrives early at the attraction.

  2. A staff member scans the ticket.

  3. The scanned ticket already shows the new tour time.

    Terminal - Scanned Ticket

  4. The voucher is redeemed.

  5. The customer joins the earlier tour, under the same conditions as above.

    • auto reschedule is allowed at that location

    • there is room available

    • no price difference applies

  6. However, in this case, the original booking is upgraded because:

    • The reseller has a static record of the booking on their side.

    • To preserve this original data, a new booking record is created for the reschedule tour.

To avoid duplicate counting when working on upgraded bookings, use 'Active PAX' in your reports. This ensures only passengers who actually joined the tour are counted.

Booking is updated in place.

Booking is upgraded and a new one is created.

No external system needs to maintain the original data.

Resellers (like OTAs) need the original data to remain unchanged.

No upgrade occurs.

Upgrade ensures data integrity for invoicing, reporting and reconciliation.
