How to Renew Memberships in the Backoffice

Renew memberships manually or automatically.

Renew a membership to create a new linked membership with extended validity. You can process a renewal at any time.

  1. Go to Bookings > Bookings and locate the membership booking.

  2. Open the booking and press the Renew button.

  3. The new validity period always starts from today's date.

  4. Check the renewal price.


    📒 NOTE

    The price of a renewal is calculated based on the number of additional days purchased.

    [membership product price] / [validity days] * [days valid]

    📘 EXAMPLE

    A £10 membership valid for 30 days, renewed on day 28, costs:

    10 / 30 * 28 = £9.33


  5. Customise renewal terms using these options:

    • Upgrade Full Price - charge the full price regardless of the number of unused days

    • Upgrade Append Validity - charge the full price and add unused validity to the renewed membership

      Renewing on day 28 of a 30-day membership results in a renewal with 32 days validity.


  6. Complete the renewal process by pressing the Checkout button and paying the renewal price.

The renewal is recorded in both the original membership booking and renewed membership booking.

Auto-renew

Automatically renew memberships at the full price 1 day after expiry if there is a card on file for the booking.

You can check which membership bookings have auto-renew enabled by navigating to the Bookings table and add the 'Membership Auto-renew' column.

Enable Auto-renew

To set up automatic renewal, open your membership product and:

  1. Enable 'Membership Auto-renew'.

  2. Enable 'Membership renewal email' to notify customers about the upcoming expiry and renewal (if configured).

  3. Press the Update Product button to save your changes.

    📒 NOTE

    You can enable the Membership renewal email on the supplier settings to automatically enable the email for all membership products.


Renewal Process

If enabled, the membership renewal email notifies the customer about the upcoming expiry:

  • 30 days before

  • 7 days before

  • 1 day before

The renewal email is hardcoded to include:

  • product name

  • expiry date

  • information that the membership will be automatically renewed


    📒 NOTE

    If a card is on stored on the booking, the membership will be charged automatically automatically charged at renewal.

Auto-Renew Opt-Out

If a customers does not wish to automatically renew their membership:

  1. Navigate to Bookings > Bookings, and locate the booking.

  2. Press the Make Changes button.

  3. Toggle the 'Membership Auto-renew' checkbox to opt out.

📗 TIP

You can also enable 'Membership Auto-renew' for an individual booking, even if the membership product is not configured with auto-renew by default.
