How to Create Stocks

Accurate inventory tracking helps strategic planning, pricing adjustments, and promotional offers.

Create New Stock

Create an inventory record for sellable items.

Prerequisites:

  • Items are set up in your Ventrata dashboard before configuring stock levels.

  1. In the Ventrata dashboard, go to Products > Stocks.

  2. Press the + New Stock button.

  3. Enter the current quantity of the item.

  4. Keep the 'Active' box checked to indicate that the item is being sold.

  5. If the item is a consumable with an expiry date, enter its expiration date here.

  6. Select the stocked item.

  7. Select the location of where the stock is kept.

    📒 NOTE

    When an item is sold through the Terminal app, the stock quantity is deducted from the stock assigned to the same location as the terminal.


  8. Press the Create Stock button.

Manage Stocks

Configure low stock notifications to be alerted when inventory reaches a certain threshold.

📒 NOTE

The system tracks the number of sold items until the stock quantity reaches 0. Once the quantity falls below 0, you can still sell them, but the system no longer tracks the remaining inventory. Set the notification threshold well before your stock is depleted.

  1. In the Ventrata dashboard, go to Activity > Notifications.

  2. Make sure that the correct destination is selected.

  3. Press the + New Notification button.

  4. Select 'Item Stock Change' from the list of events.

  5. Select which items trigger the notification or keep 'All Items'.

  6. Enter the threshold quantity. A notification will be triggered when the available stock falls below this value.

  7. Enter the email addresses of the notification recipients and/or their phone numbers including the country code, no spaces.

  8. Check the 'Use Customer Language' box to deliver notifications translated into the customer's preferred language as provided during checkout.

    Translations of the relevant keys must be provided in Supplier Settings for this to be enabled.


  9. Then press the Create Notification button.
