How to Create Memberships

Membership products allow customers to enrol to access exclusive benefits in exchange for a fee.

Membership products are a special type of products that provide customers with discounts on other products or access to exclusive tickets. Setting up a membership product is easy: simply create the product, check the 'Membership' option, set a validity period, create unit(s) and assign rate(s).

Create Membership Product

  1. In the Ventrata dashboard, go to Products > Products.

  2. Press the + New Product button.

  3. Check the 'Membership' box.

  4. In the 'Voucher Validity (days)' field, set the duration of the membership.

    The membership will be valid for the specified number of days from the date of purchase and customers can apply membership benefits to any order within this period.


  5. Press the Create Product button.

Create Member Unit

On the product level of your membership product, go to the Tickets tab and create a new unit. Follow the steps in this article.

To limit the number of membership tickets in a single booking, set the maximum quantity for the member unit.


Set Rates

On the product level of your membership product, go to the Rates tab to set the price of the membership product for each unit. Follow the steps in this article.

Membership Fields

Make sure you collect all the member information you need by setting up the right fields on the Contact Details page.

  1. On the product level of your membership product, go to the Fields tab.

  2. Scroll down to the bottom of the tab and select 'Backoffice' from the list of sources.

  3. Scroll back up to the top and check the fields which are visible to customers and which ones are required

    • Per Ticket - if more than one ticket can be purchased during with a membership product, set the required fields in this section

    • Per Booking - if only one ticket can be purchased with a membership product, set the required fields in this section

    Make sure that 'LAST NAME', 'EMAIL' and 'MOBILE' are required fields. Customers will use one or a combination of these details as their Member Login.

  4. Then, press the SAVE CHANGES button.

Create Member Tickets on Other Products

  1. In the Ventrata dashboard, go to Products > Products.

  2. In the list of your existing products, select the other product(s) that will offer memberships.

  3. In each product, go to the Tickets tab and create a new unit.

  4. Before pressing the Create unit button, remove all options in the 'Available On' field.

    This step ensures that the membership tickets are visible only to members.


  5. Then, press the Create unit button.

Create Benefits

Return to your membership product to set up the membership benefits. There are two types of benefits:

  • Promotion - applicable as member-only discounts; apply the associated promotion to any booking without the need to enter a code

  • Ticket - allow members to access otherwise hidden units of another product for different prices than regular tickets

The order of benefits determines how they are used, with the system applying them from top to bottom.

Promotion Benefit

  1. In the Membership Benefits tab, press the + NEW BENEFIT button.

  2. Enter the name and description of the benefit.

  3. Select the 'Promotion' benefit type.

  4. Select the promotion associated with the membership.

    πŸ“’ NOTE

    The discount in the associated promotion will be applied to the purchased product. However, if you want to encourage customers to purchase the membership product at full price, be sure to blacklist the membership product in the promotion settings. To reward loyal customers, you can offer them an annual membership at a discounted rate the following year.


  5. Limit how many times per day, per week, per month or per year the membership can be used.

  6. Limit the total number of uses during the lifetime of the membership.

    If a membership includes multiple benefits, and one of the benefits reaches its limit, that benefit will be skipped the next time a member tries to use when placing an order.


  7. Press the Create Benefit button.

Ticket Benefit

  1. In the Membership Benefits tab, press the + NEW BENEFIT button.

  2. Enter a name and a description of the benefit.

  3. Select the 'Ticket' benefit type.

  4. Select the other product which contains member-only, hidden units, see above.

  5. Select the units members will have access to.

  6. Check the 'Match Tier' box if members will only get access to units with the same tier as the membership.

    This means that Adult Membership will only have access to an 'Adult Member' ticket.


  7. Limit how many times per day, per week, per month or per year the membership can be used.
