How to Create Locations

A location is a physical or virtual site where travel tours or attractions are sold to customers.

Create a Location

  1. In the Ventrata dashboard, go to Ticket Terminals > Locations.
    ​

  2. Press the + New Location button.
    ​

  3. Configure the location to your needs.
    ​

Location Configuration

Field Name

Description

check that you are creating the location in the correct destination or change the destination using the dropdown field

enter the name of your location

Channel

assign a sales channel to the location

add tags which you can use to filter a long list bookings or booking elements at the location

enter the geographical coordinates of your location

indicate that the location is mobile

πŸ“— TIP

This is typically used with buses that sell tickets at different locations. If GPS coordinates are set up for the virtual location, as the bus moves along its route, the sales location automatically changes to the virtual location with the corresponding coordinates. Any sale made at the location is then attributed to it.

used for offline gate scan and validation; gates continue to synchronise and work when offline

Entry Timeout

the time delay between consecutive ticket scans, for instance, when multiple people pass through turnstiles

Cancellation Timeout

the time during which logged-in sellers can cancel and refund tickets; set to 0 to disable on-street refunds

sellers will be logged out after the set number of minutes of inactivity

this is the time before printing another ticket

Use 'Print Delay' with the 'Re-print Order Receipt' option to allow tearing off an order receipt before a duplicate is printed.

Allow Rebook

allow the change of units and date/time for tours in existing bookings via terminal devices; if the original booking was made by a reseller agent, the booking is upgraded and a new booking is created to account for price differences

Allow Adjustments

allow sellers to make a sale adjustment; for instance, to match the offering of a competitor; this must also be enabled on the product

Allow Update Availability

enable the 'Override Availability' field to make a sale even if availability is unavailable or sold out; this must be also enabled on the product

Allow Reschedule

allow the rescheduling of tour dates and times on turnstiles or terminal devices when vouchers are not available for right now; this allows sellers to redeem rescheduled tickets

Allow Rebalance

allow sellers to rebalance rescheduled orders without charging customers the difference or issuing a refund for the booking.

Supervisor Pin for Cancellations

requires a user with supervisor privileges to enter their PIN to authorise cancellations

Allow Upgrade

enable the upgrade flow and the UPGRADE MY TICKET button in the Sales Kiosk mode of the Ventrata terminal app

Re-print Order Receipt

prints the order receipt twice in a row

allow the re-print of a ticket, unless the scan limit has been reached

when enabled, the Dashboard tab in the Ventrata terminal app is hidden from the sellers in the location

allow sellers to book products in the past

when disabled, sellers logged into a shift can only view bookings made at the selected location

allow sellers to cancel tickets

Allow Gratuity

allow sellers or customers using the card reader to add tips to their purchase

Auto Reschedule

allow automatic rescheduling of a booking with a future travel date to right now if the current date/time has availability and there is no price difference

Scan Action

select whether a turnstile is configured for entry or exit

assign a counters to the location

Collect Balance

collect the balance due when a customer redeems a tickets with an outstanding amount

Complete Waiver

if a product requires a signed waiver, sellers can help customers fill out the waiver form within the app before redemption

issue a ticket to grant entry to the attraction

Scan

when counters are set up at the location, sellers can use scan entry to increase the counter until full capacity

no additional action is taken

Allowed Payment Methods

define which payment methods are allowed for transactions at the location

Credit/ Debit Card

card payment must be accepted through the POS system

Cash

accept payment with physical currency

Reseller Voucher

accept 3rd party vouchers as payment for the tours/attractions

Gift Card

accept full or partial payment using a gift card purchased from the supplier

Other

accept payment methods such as bank transfers or credit card terminals not integrated with Ventrata

Allowed Settlement Methods

define settlement methods for reseller agents

Pay full amount by card

funds clear in full directly into the supplier's account using the integrated gateway; commission is settled at a later date

Bill to my account

funds collected in cash or by card are kept on the reseller's account; the supplier invoices these sales at a later date; commission is collected immediately

Collect my commission as a deposit

the reseller collects their commission as deposit from the customer, and the rest is paid by the customer at the tour; commission is collected immediately

Pay my wholesale rate by card

for resellers on a wholesale scheme; funds from the purchase of products at the contracted wholesale rate are cleared directly to the supplier's account

Pay later

used for promoter sales; the reseller does not collect any money, the customer pays at the attraction; the supplier pays a commission to the reseller, who referred a customer to the supplier at a later date
